Privacy Policy
1. Who this policy covers
Nexora Automations ("Nexora," "we," "us," or "our") builds AI receptionist, missed-call recovery, and appointment-booking systems for home-service businesses ("Clients"). This policy applies to our marketing website, our client dashboard (the "Portal"), and the phone calls and text messages our systems send and receive on behalf of our Clients.
If you called or texted one of our Clients, this policy describes how Nexora — as the technology provider — handles the information collected during that call or text. Your Client may also have its own privacy policy covering its overall business practices.
2. Information we collect
We collect information in a few ways:
- Callers and leads. When you call or text a phone number connected to our system, we collect your phone number, the audio recording and transcript of the call (callers are told the call may be recorded), the information you share (name, service address, description of the issue), and any appointment details you book.
- Website visitors. When you submit a form on our marketing site (for example, to book an audit or request a demo), we collect what you enter — typically your name, business name, email, and phone number.
- Client Portal users. If your business uses our dashboard, we collect your business details, usage data (call and text volume), and the settings you configure.
- Automatically collected data. Standard web analytics (pages visited, browser type, approximate location from IP address) collected when you browse our website.
3. How we use information
- To operate the AI receptionist: answer calls, understand what a caller needs, and book appointments against real calendar availability.
- To recover missed calls by text message and follow up on open leads.
- To provide our Clients with records of their own calls, leads, and appointments through the Portal.
- To respond to inquiries submitted through our marketing website.
- To maintain, secure, and improve our systems.
- To meet legal, tax, and regulatory obligations.
We do not use call or text content to sell advertising, and we do not build cross-business advertising profiles from it.
4. Text messaging (SMS) communications
Some of our automations — most notably missed-call recovery and appointment confirmations — communicate with callers by SMS text message on behalf of our Clients. The following applies to anyone who receives a text message from a phone number connected to our system:
- No sharing of your mobile number for marketing. We do not sell, rent, share, or otherwise disclose your mobile phone number or your SMS opt-in status to any third party for that third party's own marketing or promotional purposes. Your number is used only to deliver the messaging described in this policy and in our Campaign Terms and Conditions.
- Message frequency. Message frequency varies based on your interactions with the business you contacted — for example, a missed-call follow-up text, an appointment confirmation, or a reminder. We do not send recurring marketing texts outside of that context.
- Message and data rates may apply. Standard message and data rates from your wireless carrier may apply to any text message you send or receive.
- Opting out. Reply STOP at any time to stop receiving text messages, or reply HELP for assistance. After you reply STOP, we will send one final confirmation message and then stop texting that number, except where needed to confirm an appointment already in progress.
- Carriers are not liable. Supported carriers are not liable for delayed or undelivered messages.

5. How we share information
We share information only as needed to run the service, and never sell personal information:
- With the Client you contacted. Call recordings, transcripts, leads, and appointments are visible to the business you called or texted, through the Portal — that is the point of the service.
- Service providers. We use infrastructure providers for telephony (placing and receiving calls and texts), voice AI processing, calendar scheduling, and hosting. These providers process data on our behalf under contract and are not permitted to use it for their own purposes.
- Legal reasons. If required by law, subpoena, or to protect the safety of any person.
- Business transfers. If Nexora is acquired or merges with another company, information may transfer as part of that transaction, subject to this policy.
6. Cookies and analytics
Our marketing website uses standard analytics cookies to understand traffic and improve the site. The Client Portal does not use advertising cookies. You can control cookies through your browser settings; disabling them may affect some website functionality.
7. Data retention and security
We retain call recordings, transcripts, and lead data for as long as needed to provide the service to our Clients and to meet legal and accounting requirements, and delete or anonymize it thereafter. We use industry-standard technical and organizational safeguards to protect information, but no system can be guaranteed 100% secure.
8. Your choices and rights
- Text STOP to any message to opt out of future texts, or HELP for help.
- Contact us at the email below to ask what information we hold about you, request a copy, or request deletion, subject to our legal obligations to Clients and regulators.
- California, EU/UK, and other residents may have additional statutory rights over their personal information; contact us to exercise them.
9. Children's privacy
Our services are intended for businesses and their adult customers. We do not knowingly collect personal information from children under 13.
10. Changes to this policy
We may update this policy as our services evolve. We will post the revised policy here with an updated "Last updated" date. Continued use of our services after a change means you accept the revised policy.
